Portals
How do you get straight to the
information you want in your job?..probably with a larger
font ( print version) than this
- Recognise
that books and paper are nice but history, in modern rapidly changing business.
Everything is electronic or is going there.
- Build workgroup
"portals". Openings you go through to where you want to be. A portal
collects links to specific web pages or specific information, on a web page
which you use as your Home Page through Internet Explorer, Tools, Internet
Options, Use Current.
- By all means have the standard corporate page but acknowledge
that many workgroups in your organisation do not care about the stock price or the latest release of some
product from a workgroup in another country.
- What the employee needs
is a one click access to 'what to do if you have an accident" or
"application for leave form". He/she probably needs to know the phone number
and fax of the company's preferred courier company and to be able to find the
emergency contact for Jim, who has gone on holiday for 3 weeks, but has the key to
the tea and coffee cupboard.
- You are actually using a portal
now but are restricted to links the designer has built. Much better to have your
own ability to edit and get rid of the bits you hardly ever use. Focus on what
you use everyday so when you start up there they all are...your team's
Favourites, in a layout with font you can all use
and with links to the mandarin version if you want...
- Too many companies spend
thousands on smart web pages continuously updated with interesting information.
IT staff enjoy creating them and feel important running them.
- People want some stability in
their lives and having sources of information being hard to use or changing all
the time leads to A4 printouts stuck on walls. These A4's promulgate use of old
information which leads to waste and mistakes apart from spoiling the walls of million dollar
office fitouts.
- Portals get constructed in
conjunction with the workgroup. Have as many as you need with a standard header
grouping that includes the corporate home page link, HR , the telephone list and
a "create new process" link. In the body of the Portal the workgroup selects and
edits what goes in. It may vary and will evolve. It can include special alerts
as necessary. They own it, they manage it and if you believe in any sort of
modern management theory this has to be good for business.
